Privacy Policy
Effective November 1, 2026.
Tampa Orthodontists is operated by FoundTrail Group. This policy describes how we handle information for this directory.
For directory inquiries, listing corrections, advertising questions, or privacy requests, contact info@tampaorthodontists.net.
Information you provide
The advertising inquiry form collects the selected practice location, your contact name, email address, optional phone number, and optional message. A random submission reference helps prevent duplicate submissions. There is no separate general-purpose website contact form; contact, correction, and privacy requests are handled by email. Emails may include your email address, name, message, and attachments you choose to provide.
Practice representatives may separately supply advertising descriptions, logos, photographs, biographies, office hours, and appointment links. We review submitted materials before approving public use. Please do not include patient information, medical records, payment card details, or other sensitive information.
Public practice information
Practice listings display business names, office addresses, business phone numbers, websites, practice categories, orthodontic services, and available insurance participation information. Each office location is listed separately when appropriate. Active sponsored profiles may also display approved advertiser content. Public directory information comes from publicly available business information and practice submissions. Private sales contacts, inquiry messages, internal notes, and internal research and verification details are not published as listing content.
How information is used and stored
We use inquiry and correspondence information to respond, review listing corrections and privacy requests, discuss advertising, maintain placements and payment-reference records, and prevent misuse. Website inquiries and administrative records are stored in a private database outside the public website folder, accessible through the protected administrative area. Inquiries are saved even if an email notification cannot be sent.
The notification queue retries unsuccessful sends within configured limits. Notifications contain an inquiry reference and a link to the private inbox, rather than the inquiry message or submitter’s contact details. Email-system acceptance does not prove inbox receipt. We keep private notification status and attempt records for troubleshooting.
Cookies, technical information, and logs
The administrative area uses a session cookie to support administrator sign-in and security. Ordinary directory browsing and the advertising inquiry form do not set analytics or advertising-tracking cookies. There are no active analytics tools, tracking pixels, advertising analytics, or integrated website payment processors in this version of the directory. Advertising recurring subscriptions may be arranged separately through an authorized external payment processor.
Hosting access, error, mail, and security logs may be created for normal operation. Tampa-specific archive settings and provider log-retention periods have not been verified, and no fixed deletion schedule is promised. Error, mail, and security log retention follows the provider’s operational settings; account-specific durations for those logs have not yet been confirmed.
Service providers and sharing
KnownHost currently hosts the website and the active directory mailbox. It processes information needed to host the service, deliver notifications, and handle directory correspondence. The directory uses its KnownHost-hosted city mailbox for inquiry notifications. If you authorize an external recurring advertising subscription, the payment processor handles the billing and payment information under its own privacy terms. FoundTrail records the agreed advertising period, purchaser contact, payment or subscription reference, and confirmation of payment; this website does not receive your full payment card details. Access is limited to operational needs; inquiries are not published or distributed to other practices as sales leads.
We do not sell inquiry information or use it for targeted advertising in the current service. We may disclose information where required by law, to address fraud or abuse, or to establish, exercise, or defend legal rights.
Retention policy and manual review
Our approved retention policy is: inquiries and routine correspondence, 24 months after the last interaction; advertiser materials, 24 months after the last paid placement; and purchase, payment-reference, and audit records, seven years after the relevant transaction or placement ends. The 24-month inquiry period applies to routine correspondence. Information that also documents an advertising agreement, payment, or other transaction is retained with the relevant contractual or accounting record under the seven-year policy, or longer where required. Records are reviewed manually for deletion or anonymization when the applicable periods end. There is no implemented or tested automatic deletion process for those records, and the stated periods do not mean that software deletes information on an exact date.
We retain records longer when required by law or applicable recordkeeping obligations, or reasonably necessary for an active dispute, legal claim, or security investigation. Any future deletion process must check and preserve those exceptions before removing information. Public practice information and supporting business research are maintained while relevant to the directory and reviewed for correction or removal when appropriate. Tampa keeps private database snapshots in the hosting account for operational recovery. Provider backup coverage and rotation for this Tampa account have not been verified. Same-account snapshots are not independent off-server backups. Backup copies may outlast changes to active records; no fixed provider deletion date or immediate erasure from backups is promised.
Corrections, deletion, and privacy requests
Email us using the contact address above, with a description of the information or practice location involved and the correction, access, or deletion you request. We acknowledge privacy requests promptly and review them manually. We may request information reasonably necessary to verify your identity or authority and clarify the request. We respond without undue delay and within any applicable legal response deadline. If a legally permitted extension is needed, we explain the reason and notify you within the required time. We consider applicable rights and necessary legal, security, and recordkeeping exceptions, explain any refusal or material limitation, and provide any appeal instructions required by applicable law. These requests are handled by our team; the website does not automatically fulfill or delete records in response to a request. Removal from active systems may precede expiration from protected backups. Necessary records may be retained, and some public business information may remain available where appropriate. Do not send identity documents or sensitive patient information unless specifically requested through a suitable secure method.
Security and external websites
Administrative access is restricted and credentials are stored outside public website files. No system can guarantee absolute security. Clicking a practice website, appointment link, telephone link, or email link connects you with an independent service with its own privacy practices. If an approved logo or photograph is loaded from an external image host, that host receives normal request information, such as an IP address and browser headers.
Children
Advertising inquiries are intended for practice representatives, not children under 13. We do not knowingly solicit personal information from children under 13. Contact us using the address above if you believe such information has been submitted.
